Admin Software

The Band uses several software systems to administer the program and 2024 introduces two of them.

CutTime is a program we use to help meet the many needs of our band program including email communication, finances, inventory assignments, and various item orders. CutTime is used by every band in our district and replaces Charms (more information below.)

Parent Square is a new program from the school district that attempts to consolidate how communications are sent.  The band program has needs that require further functionality so we are going to be trying to figure how we use this during the year.

Signup.com is used as we consolidate parent volunteer opportunities that we share with the wider Music Parents Association.

FinalForms - administered by the athletic department, this system tracks submission and expiration of required medical forms. [ Direct Link ]

Accessing CutTime

• CutTime's primary communication method is text messaging; each message will have a unique link to your profile. No password or login name is required with this magic link. We suggest bookmarking the unique link sent to you with..."save to home screen," which all smartphones provide. ​

• You will receive a welcome Text to authenticate your phone (and/or laptop)

  • • Check out this CutTime FAQ to see how it will work

    • Emails will be used as a backup to text.

• We imported your contact information from Charms or the school district, if we don't have it correct please fill out this form.

• If you haven't saved your unique link and need another one, use one of the following pages to have the link resent to your phone number on file. Student Accounts or Guardian Accounts. ​

Using CutTime

• Update Contact Info - Unlike Charms, you are unable to change your contact information yourself- please fill out this form.

  • • Each guardian must have a unique cell phone number.

• There are no passwords to reset, see above on how to authenticate- if we don't have the correct cell phone, fill out this form.  

  • • To resend link to your phone number on file.  Student Accounts or Guardian Accounts. ​

    • Did you hit ‘Stop’ and Opted Out of CutTime Magic Link Messages by Mistake?

      • No biggie, you can go back to your last message from CutTime and reply with ‘UNSTOP’ to resume the messages whenever you want.

• Band Fees - Once placed into groups, fees are applied to students and are paid through CutTime.  We encourage the use of online payments to reduce the manual paperwork done by the directors.  See an issue with your records? fill out this form

  • • New with CutTime:

      • Student account funds (fundraisers) are automatically applied to student fees

      • A "Rolling Balance" is used and payment reminders will be sent each month.

• Store – There is no CutTime Store at this time.

• Calendar - At this time we continue to use our google calendars outside of CutTime
